Who is responsible?

Ocean Solutions operates this website and is responsible for the personal information collected through it. The website identifies its operating company by company number 17555614. Contact our privacy team at info@oceansolutions.net, or write to: Privacy enquiries, Ocean Solutions, 2nd Floor, College House, 17 King Edwards Road, Ruislip, London, HA4 7AE, United Kingdom.

What we collect

When you register an interest, we collect your name, email address, country, area of interest, submission time and a record of whether you chose optional project-news emails, including the version of the choice presented. If you email us, we also receive your message and any information you choose to include. Please do not send sensitive personal information through the registration form.

Our hosting and security providers process technical information needed to deliver and protect the service, which may include IP addresses, request times, browser information and error or security logs. Your chosen language is stored on your device as explained in our Cookies & storage notice.

Purposes and lawful bases

Required form fields let us identify and respond to your interest. If you prefer not to use the form, email us instead. Choosing not to receive marketing does not affect our response to your enquiry.

Who receives information

Information is accessible to people authorised to manage Ocean Solutions enquiries. Service providers supporting website hosting, database storage, security and business email may process information for those services. The website is hosted through ChatGPT Sites using Cloudflare infrastructure, and form submissions are stored in its Cloudflare D1 database. We may also disclose information where required by law or necessary for legal advice or claims. The registration form does not send your details to technical or commercial partners.

International processing

Hosting and communications services can involve processing outside the United Kingdom. UK data protection rules require a valid transfer arrangement for restricted transfers, such as UK adequacy regulations or appropriate contractual safeguards with the necessary assessment. Contact us for information about the locations and safeguards applicable to your data, and how to obtain a copy of relevant safeguards. This notice does not assert that data is stored exclusively in the UK.

How long information is needed

We retain enquiry records only for as long as reasonably needed to respond, manage the resulting relationship and resolve any related complaint or legal claim. The relevant criteria are whether the enquiry remains active, whether an ongoing relationship exists, and any applicable legal requirement or limitation period. Optional mailing-list information is needed while your subscription remains active; if you unsubscribe, a minimal suppression record may be retained to respect your choice and avoid contacting you again. Consent evidence may be retained where needed to demonstrate compliance. Security logs and backups are subject to the relevant provider’s retention arrangements. Contact us about the retention applicable to your record.

Your rights

Depending on the circumstances, you can request access, correction, erasure, restriction of processing or portability of your personal information. You can object to processing based on legitimate interests and object to direct marketing at any time. You can withdraw marketing consent without affecting earlier lawful processing. Rights are subject to their legal conditions and exceptions.

Email us with your request. We may need proportionate information to verify your identity. We normally respond to rights requests within one month; where the law permits an extension or a pause, we will explain it. We do not use registration information for automated decisions producing legal or similarly significant effects.

Complaints

Raise a data protection complaint by emailing info@oceansolutions.net or writing to the address above. Please explain your concern and the outcome you are seeking. We will acknowledge receipt within 30 days, make appropriate enquiries, keep you informed and communicate the outcome without undue delay.

You also have the right to complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint. You do not have to give up that right to contact us first.

Changes

We will update this notice when the website’s data use changes and provide additional information where required before using your information for a new purpose.
